GENERAL

Change to terms and conditions
These terms and conditions may change without prior notice
Changes will not affect an already existing booking between You and IO. Unless otherwise agreed, the terms & conditions that were in place at the time when a booking was completed will apply.

Price & payment
Unless otherwise agreed in writing, the price on the website prevails
Prices on the website may change without prior notice. Existing bookings will not be affected by these changes.
All prices are in Canadian currency (CAD) and Nunavut taxes (5% GST) apply on all services
Unless otherwise agreed or stated, you will pay the full price on booking.
E-money transfer (EMT/EFT, electronic money transfer, Interac) is the preferred method of payment. Payment can also be made by cheque or wire transfer, or cash at IO’s office (contact us prior).
Interest on unpaid accounts will be charged at 24% per annum

Booking confirmation
Booking is completed when you received an email confirmation from IO.
A confirmation will be issued when IO has received all requested information (refer to “Required forms” section of each specific category), including payment in full.

First come, first serve
IO operates on a “first come, first serve” basis

Commitment to safety
IO is committed to the highest standards of safety and follows all applicable public health & safety requirements and guidelines.
You agree to abide by the applicable federal, territorial and municipal public health requirements and guidelines that are in place at the time of service delivery by IO and to keep yourself apprised of these requirements and guidelines as not to hamper IO’s service delivery to You.
You agree not to participate in activities organized by IO when:
• You received a diagnosis of Covid-19
• You have symptoms similar or related to Covid-19
• You are waiting for a Covid-19 test result
• You have been in contact with someone waiting for a Covid-19 test result, have symptoms similar or related to Covid-19 or someone who received a positive test result within the past 14 days.
• Please see our COVID-19 advisoryYou agree to abide by IO’s safety rules. Those rules may change from time to time.
To assess your participation and for safety purposes, if requested, you agree to complete questions involving your health. Once received, the information will be reviewed by IO’s Medical Director and will be shared with the guide(s) linked to your trip. Your information will be kept confidential, and the information will be kept secured in IO’s office for seven years after the trip dates. You agree that IO may share your medical information for your own safety, including but not limited to: medical emergencies. (Document will be provided by email at “Booking Confirmation” step)
Depending on the activity, you also agree to complete certain other forms, such as the Acceptance of Risk form. (Document will be provided by email at “Booking Confirmation” step)
It is your responsibility to ensure that your level of Experience, Skills, Fitness, and Comfort matches the activity minimum required levels. A click button “LEVEL 0 to 4” can be found by each specific service on our website to review the required levels. If you are not sure whether you meet the required level of experience, please contact IO to discuss your concern before making a booking.
IO reserves the right to refuse you from a certain activity when you do not meet the activity minimum required levels. In this case, section “Cancellation by you (other than Covid-19)” will apply and you will also be responsible for any incidental costs that you may incur, such as lodging and meals.

Travel insurance
IO strongly advises you to obtain travel insurance
Insurance should offer coverage for, but not limited to;
• Loss of luggage
• Weather/mechanical delay or cancellation (if possible, including cancellation due to Covid-19)
• Search & rescue
• Medical services (including Covid-19-related services)
• Medical transportation (medevac)
• RepatriationIO will not advise, review, nor make suggestions regarding which insurance you should obtain.
IO will not be responsible for incomplete and inadequate insurance coverage.
Note: Most provincial medical insurance plans do not cover medical transportation, such as medevac

Equipment / Clothing Rental
You must agree to the “Equipment rental terms and condition”
For more information: please refer to the “Arctic Gear Rental” section of our website.
You agree to sign our “Rental Agreement”; a hard copy will be provided on the pick-up day.
Clothing and/or equipment can be rented at no additional cost (if/when available) during guided services.

Access to our preferred rates & third parties’ terms and conditions
To access any of our preferred rates (such as for accommodation or airfare), guests will have to: • Package it along with a minimum of two IO excursions, (or) • Purchase a package with a minimum value of $1000/person (before tax) Note that when a third party delivers services, including when you use a preferred rate with a third party, their terms and conditions apply (please refer to their website for details).

Gratuities
It is common practice in Canada to tip your guide; it is a voluntary act, and is in no way mandatory.
Most tour operators suggest $10 per person, per day of guided services
Participants can decide to:
• Offer a tip as a group that will then be shared amongst the guides
• Tip the guide of their choice directly“If you like your ride… Tip your guide!”

Time
A day means a period of 24 hours, beginning at midnight
A reference to a number of days in this document in the context of cancellations means the number of days prior to the commencement of the activity.
The time in Iqaluit, Nunavut (Eastern Standard Time) is applied when determining if a cancellation was made within the required number of days in this document.

Additional Information
Where an activity is described as “weather permitting”, IO will decide if the weather is appropriate (judged by IO’s guides).
Decision will be made up to, but not limited to, one (1) hour prior to the schedule departure time
You are responsible for any additional costs related to “weather delay / cancellation” such as additional accommodation, food, flight-change fees, etc.

Cancellation related to Covid-19
Cancelled by you
If you cancel for reasons related to covid-19, the above “Cancellation by you (other than Covid-19)” section applies.
IO recognizes the uncertainty during this world pandemic situation. You may choose to get a voucher that can be used to rebook services at a mutually available later date.
• Voucher value is: 75% of ground services
• Voucher is valid for a period of one (1) year after the cancellation date
• Voucher is not transferable to a third party
• Third Party services: third parties’ terms and conditions apply
You must provide IO with documentation showing that you have no choice but to cancel due to Covid-19, such as providing a letter signed by a doctor stating that you have Covid-19 or a letter from your government that you must be quarantined. Only if you have no choice but to cancel due to Covid-19 will IO allow a cancellation under this part. Merely knowing that someone in your party has Covid-19 is not an acceptable reason to cancel, it must affect you in such a way that you too have no choice but to cancel (for instance, if you must be in quarantine).
If, because of covid-19, you incur extra costs (such as the cost of extra days staying in a community during lockdown), you are responsible for those costs.

For your own comfort, IO does not mix groups/participants together.

Where a service is described as requiring a minimum number of participants, IO may cancel 45 days prior to the expedition.
